Hours: 16 hours per week over 2 days – initially Tuesday & Thursday changing to Monday & Thursday in August 2018

As College Administrator you will have a key role to play in the accurate and efficient administration of the College Office, supporting the Chief Executive and Trustees. Key duties include dealing professionally and confidentially with tutors and students, ensuring that courses are planned and delivered to the highest quality.

This is a busy and varied role and the successful candidate will have excellent administration skills, be able to plan, organise and prioritise workloads to meet deadlines, respond promptly to queries and solve problems working both as part of the team and on their own initiative. Experience of using IT systems and packages, in particular Microsoft Office is required. Good interpersonal skills, in particular when taking telephone enquiries is essential, along with the ability to maintain a high level of confidentiality and discretion at all times.

JOB DESCRIPTION

College office administration

  • The ‘face’ of the SCCO, providing a warm, efficient and professional first response to emails and phone calls. Triaging emails and calls and assigning to appropriate people across the College from Trustees to office staff.
  • Managing office systems and suppliers.
  • Providing administrative support to the CEO and Board of Trustees.

Trustee and Faculty support

  • Liaising with course directors and tutors on materials for courses, and information for students.
  • Communicating Trustee and Faculty information to College Fellows and Members.

Student support

  • Confirming bookings and course arrangements with students.
  • Ensuring student records are accurate and up to date.
  • Providing Members and Fellows with information and membership support.

Course Planning and Administration

  • Encouraging bookings through student and enquirer relationship management
  • Booking venues and services for course delivery.
  • Producing course and conference materials.
  • Liaising with storage and transport suppliers and managing the inventory for course materials.

Other duties

  • Occasional course visits to manage arrangements and to meet tutors and students.
  • Performance of any such other duties as may reasonably be requested by the CEO or Board of Trustees.
